ML-03-06 Storing Documents Online

Google provides a number of services to Google customers. With one Google account, you can have access to Gmail, YouTube, Google Drive and many other services. If you have a Gmail account, you already have the ability to upload, store, manage and download your documents and file using this service.

Look for the features that you want. For effective management of Document and File Storage the service application should:

• Offer enough storage space for your needs
• Be free or affordable to you
• Be secure and have notification alerts if suspicious activity is noted
• Allow you access from any computer as long as you pass the security / login requirements
• Allow synchronisation of content between your devices and the File Storage Server
• Be supported by other applications you use so that you can move content between your applications using the sharing services of your device operating system (Android or IOS)

Most File Storage Applications meet the requirements above. Examples include:

• Google Drive
• Microsoft’s OneDrive
• Dropbox

In the figure above you can see a folder structure (similar to a filing cabinet with drawers) and a list of files in a folder (Foreign Exchange). In the folder you see Word documents and PDF files that have been uploaded and stored.
